The Role
We’re looking for a Client Experience + Admin Coordinator to help make the experience behind The Run Rx feel as exceptional as the care itself.
You’ll be the person helping clients navigate scheduling, communication and the little details that make an experience feel seamless, while also keeping the administrative side of the clinic organized and moving.
This is a hands-on role for someone who is naturally warm, highly organized, proactive and good at noticing what needs to happen before someone has to ask.
Because this person will help create a welcoming, familiar presence for our clients, the role will be primarily in person at our Somerville studio, with flexibility for some hybrid/remote work as it makes sense for both the business and the employee.
We are open to either:
Part-time: approximately 15–20 hours/week with The Run Rx
Full-time: a shared position supporting both The Run Rx and our sister studio, The Pilates Rx
The two businesses share a physical space, many of the same systems, and a similar commitment to high-touch, relationship-driven care, making the shared full-time role a natural fit.
What You’ll Own
Client communication across phone, text and email
Scheduling, waitlists and appointment coordination
New-client onboarding and inquiry follow-up
Client follow-up and retention-related tasks
Routine billing, payment and documentation support
Clinic supplies, organization and front-office logistics
Forms, licenses, renewals and administrative tracking
Marketing execution including Canva, newsletters, reviews and social content
Event logistics and community outreach support
The small details that make clients feel genuinely welcomed and cared for
The Ideal Candidate
You may be a great fit if you:
Are exceptionally warm, likable and customer-service oriented
Naturally make people feel welcomed, heard and taken care of
Are highly organized and have excellent attention to detail
Take initiative and notice things that need attention without waiting to be asked
Can independently handle routine problems while knowing when something needs to be escalated
Communicate clearly and professionally while still sounding human
Enjoy systems, checklists and keeping a lot of moving pieces organized
Are comfortable learning and using technology
Have experience with a CRM such as HubSpot or are comfortable becoming highly proficient in one
Are comfortable with scheduling software, Google Workspace, Canva and other digital tools
Enjoy healthcare, fitness, wellness or another relationship-driven service environment
Care about the details because you understand that they shape the overall client experience
Compensation + Benefits
Competitive hourly compensation based on experience and scope
401(k) with up to 3% employer match for eligible employees, including part-time employees
Paid time off for eligible employees
Flexible hybrid work when appropriate for the role and business needs
Opportunity to grow hours and responsibilities over time
Potential for a full-time shared role supporting both The Run Rx and The Pilates Rx
Collaborative, small-team environment with meaningful ownership of the client experience

The Role
We’re looking for a Director of Operations to own the systems, people, and day-to-day execution that keep The Run Rx running at a high level.
This person will be the Owner’s primary operational partner—turning ideas into action, improving systems, supporting team performance, solving problems before they become bigger problems, and helping the business grow without sacrificing the quality or personal experience our staff and clients expect. We’re looking for someone who can independently think, decide, implement, and lead.
This will be a hybrid role combining in-person and remote work. We expect more in-person involvement initially while learning the business, team, and systems, with the role likely becoming primarily remote over time while maintaining regular clinic presence as needed.
Our ideal structure is approximately 25–30 hours per week, but we are open to a full-time position for the right person and fit.
What You’ll Own
Business systems, SOPs, workflows and operational improvements
HubSpot/CRM management, automations, reporting and technology implementation
Staffing capacity, schedules, hiring and onboarding assist
Performance management and team accountability alongside clinical leadership
Payroll, bill pay and operational oversight
High-level customer service and client communication
Inquiry follow-up, onboarding and client retention systems
Referral partnerships, community outreach and events
Clinic KPIs, performance trends and implementation of improvements
Day-to-day operational decisions that allow the Owner to stay focused on higher-level strategy
The Ideal Candidate
You may be a great fit if you:
Take initiative naturally and rarely need to be told what to do next
Problem-solve before escalating and bring solutions, not just questions
Are highly organized, dependable and accountable to results
Are deeply likable, emotionally intelligent and exceptionally customer-service oriented
Believe great service should feel radically human, hospitable and clear
Can make business decisions and translate them into systems and behaviors that support growth, client experience and clinical excellence
Are comfortable holding people accountable and having direct, respectful conversations
Understand how staffing, utilization, customer experience and financial performance connect
Are highly tech-savvy and comfortable learning and improving systems
Are comfortable with tools such as scheduling platforms, EMRs, Zapier, Google Workspace, payment systems and website platforms
Can move between strategic thinking and hands-on execution without getting stuck in either
Ideal experience
3-4+ years in an operations, business management or general manager role, including at least 1+ years directly managing people — not just coordinating a team or leading projects.
Have meaningful experience with HubSpot or another robust CRM
Has personally handled a disciplinary conversation, performance improvement plan, or termination.
Has owned or had visibility into a P&L or operating budget
Has implemented or overhauled a system or process end-to-end — not just used one someone else built.
Experience in a small or single-location high touch business, ideally service-based (healthcare, fitness, hospitality, salon, boutique retail)
Compensation + Benefits
Competitive compensation based on experience, scope and weekly hours
Performance-based bonus opportunity tied to business growth and operational performance
401(k) with up to 3% employer match
Paid time off for eligible employees
Flexible hybrid work structure, with the role expected to become increasingly remote over time
Professional development and growth opportunities
Opportunity to take on increasing ownership and responsibility as the business grows
